Manage employees and access
When to use this
Use this when the person is an employee and you need to create, update, archive, restore, or remove the employee record.
What you need first
- Office permission to manage employees
- A clear answer to whether you are changing the employee record or the user login
Steps
1. Use [Create an employee and give them a login](create-an-employee-and-give-them-a-login.md) when the employee record does not exist yet. 2. Use [Edit an employee profile](edit-an-employee-profile.md) for profile changes. 3. Use [Archive or restore an employee](archive-or-restore-an-employee.md) for employment state changes. 4. Use [Delete an employee when allowed](delete-an-employee-when-allowed.md) only when removal is permitted. 5. If the employee record already exists and the issue is login or role access, move to [Manage users and invites](../../../settings/office/users/manage-users-and-invites.md).
What happens next
- HR changes affect who can be scheduled, linked, and shown in workforce records.
- Login and role changes belong in Settings, not HR.
If it goes wrong
- If someone can sign in but cannot see work, check the employee record and account linkage before changing their password.
