Manage users and invites
When to use this
Use this when the person already exists in the system and the issue is their login, role, access level, or invite state.
What you need first
- Admin or office permission to manage users
- A clear answer to whether the issue is employee data or user access
Steps
1. Use [Add a user login for an existing employee](add-a-user-for-an-existing-employee.md) when the employee record exists but no login does. 2. Use [Change a user’s role](change-a-users-role.md) when their authority is wrong. 3. Use [Change a user’s access level seat](change-a-users-access-level-seat.md) when their seat or preset needs to change. 4. Use [Invite a client user](invite-a-client-user.md) for external client portal access. 5. Use [Resend or replace an expired invite](resend-or-replace-an-expired-invite.md) when the invite is no longer usable. 6. If you are not sure whether the problem is role authority or seat access, read [Understand roles vs seats](../access/understand-roles-vs-seats.md). 7. If you need the broader account access model first, read [Understand access levels](../access/understand-access-levels.md).
What happens next
- User access changes affect what the person can see and do after sign-in.
- Employee details remain in HR and should only be changed there.
If it goes wrong
- If you are about to edit a person’s employment record to solve a login issue, stop and confirm whether the task belongs in HR or Settings first.
